Streamline your NetSuite, Intacct, and Xero integration setup steps by mapping GL Customers, Products, and Chart of Accounts in bulk via import from the integration’s settings in Ordway. This process includes an export file containing a list of all active records in both Ordway and your GL to more seamlessly sync these records using their internal IDs from your GL.
Note: This feature is currently available for NetSuite, Intacct, and Xero.
Steps:
Specific instructions for additional integrations are noted when different from this example using NetSuite Customers.
- Navigate to Menu > Setup > Integrations.
- Click the desired integration, click Settings, and click the corresponding mapping toggle.
- Click Export Customers from the More menu on the Customer Data tab.
- Download the exported file. Ordway automatically creates two tabs within a single export file: one for Ordway Records and one for NetSuite Records.
- Copy the NetSuite IDs from the NetSuite Records tab over to the Ordway Records tab through either a macro, pivot table, or other Excel tools.
If records are missing from the Ordway Records tab, the record does not exist in Ordway and must first be added to Ordway before continuing.Important note for Intacct: Both an internal and external ID are required for mapping. Please map both IDs to their respective record in the Ordway Records tab.
-
When finished, all data required for the import should appear on the Ordway Records tab. Delete the Netsuite Records tab once all data is carried over.
-
Once all IDs are populated, return to the integration screen, and click Import Customers from the More menu.
-
The Data Import Wizard loads. Select the file to Import and click Next.
Notes: Chart of Accounts Import does not use the Data Import Wizard. As a result, be sure to copy the instructions from the Export file and then delete the Instructions tab prior to importing the CoA file. Read more about Chart of Accounts. - On the Upload screen, select Customer from the drop-down menu for the Ordway Records tab. Make sure the Netsuite Records tab is not shown. If it is shown, click the trash can icon to delete the tab. Click Next when finished.
- On the Map Columns screen, ensure that the ID, Name, and netsuite_id Ordway Columns are correctly mapped to the Import Columns. Click Next when finished.
- On the Verify Data tab, check Overwrite existing records with same ID’s. This ensures the import only updates existing customers with the new GL ID. Click Import when finished.
- Once the upload is complete, return back to the corresponding integration mappings and finish the remaining mappings steps:
