Navigate to Menu > Platform > Workflow Automation.
Workflows can be manipulated in the following manner:
- View and filter all Workflows
- Import/Export Workflows
- See All Emails
- Add Workflow (edit permission required)
- Workflows can be edited, cloned, enabled/disabled, deleted, exported, and also used for troubleshooting. These actions are further explained below.
Edit Workflow
Workflows can be edited with the edit permissions enabled.
Steps:
- Click Edit for the corresponding flow to open the flow builder.
- Edit the flow and click Save.
Edit Workflow Name
Steps:
- Open the desired flow and click the Edit icon next to the flow name.
2. Edit the flow name as needed and click Save.
Clone Workflow
Flows can be cloned and adjusted for similar processes without recreating an entire flow.
Steps:
- Click Clone from the Actions menu of the desired flow you wish to clone.
- Rename the flow and click Done.
Enable/Disable Workflow
Flows can be enabled or disabled as needed. Disabling a flow means it will no longer run until enabled again.
Notes:
- When a flow is disabled, it stops running immediately.
- To restart or disable a flow at any time, click Enable/Disable from the Actions menu for the desired flow.
Steps:
1. From the main Workflow menu, click Enable/Disable from the Actions menu for the desired flow.
Or click Enable/Disable while editing a specific flow.
Run Workflow
Run auto-launched flows on an ad-hoc basis. This is ideal for testing a new workflow or to run a workflow off-schedule.
Note: Workflows must be enabled in order to run on an ad-hoc basis.
Navigate to Menu > Platform > Workflow Automation, and click Run from the gear icon next to the desired workflow.
You can also run a workflow from Menu > Platform > Workflow Automation. Open a workflow and click the Run button.
Export Workflow
Flows can be exported to be used in another environment as needed.
Steps:
- Click Export from the Actions menu for the corresponding flow and save the ZIP file.
- Unzip the file, navigate to the new environment or company, and Upload the flow.
Delete Workflow
Workflows can be deleted. This action cannot be undone. Therefore, Ordway recommends disabling a flow instead of using the delete option.
Steps:
- Click Delete from the Actions menu for the corresponding flow.
- Click Delete to confirm the action.
View Audit Log
View Audit Log to review date, user, and events for a flow.
Steps:
1. From the main Workflow menu, click Audit Log from the Actions menu for the desired flow.
Audit Log Example:
Click View to see the audit log details.
