Order Line to Revenue Line Mapping for Billing-Based Revenue
ENHANCEMENT
| Order lines can now be mapped directly to their corresponding revenue schedule lines when revenue allocation is Based on Billing Line. This mapping improves traceability between billing and revenue schedules. |
Each order line is mapped to applicable revenue schedule lines, excluding rules that recognize revenue on invoicing.
The feature is opt-in and disabled by default. Existing behavior remains unchanged when the feature is not enabled.
Real Time Billing Runs
NEW FEATURE
| You can now run billing jobs for a single Subscription or Order in real time and receive invoices instantly. |
Billing runs triggered from the UI or API for a single Subscription or Order execute immediately when they meet system limits. No queuing is required.
What’s New
- Faster invoice generation for small billing runs
- Immediate invoice response when billing a single Subscription or Order
- Real Time execution when properly filtered
Must be enabled under Invoice settings.
How can you use it?
To enable this feature:
- Go to Setup> Settings. The General Settings page is displayed.
- Under Invoice section, click Real Time Invoice Generation toggle.
- Click Save to enable the feature.

Configurable Revenue Allocation Method Across Product, Charge, and Sub-Charge Levels
ENHANCEMENT
| You can now set the Revenue Allocation Method at the product, charge, or sub-charge level instead of relying only on inherited settings. This gives you precise control over how revenue is allocated for each charge. |
What’s New
- Configure the revenue allocation method at the product, charge, or sub-charge level
- Choose between:
- Based on Total Contract Value
- Based on Each Billing Line
- Charges can either inherit the parent setting or override it
- The selected method is applied consistently in revenue schedules and exports
Availability
- Available for products and charges with Include in Revenue Allocation enabled
- No impact to existing setups unless the allocation method is explicitly changed
Update Credit Support in Workflows
ENHANCEMENT
| Workflows now support updating existing Credit records using the Action on Existing Object capability. |
What’s New
You can now select Credit as an object and use the Update Record action within Workflows to modify existing credit notes automatically.

[Xero] Customer & Contact Sync Behavior Update
ENHANCEMENT
| Ordway now syncs a maximum of five (5) contacts per Customer to Xero. If more than five contacts exist, only the first five are synced and the remaining contacts are skipped. |
What’s New / Behavior Details
- When a Customer is created in Ordway and synced to Xero, only the first five associated contacts are sent to Xero.
- The first contact created in Ordway is synced and automatically set as the Billing Contact in Xero.
- Any contacts beyond the first five will remain in Ordway and will not sync to Xero.
- To be eligible for sync, a contact must have at least one of the following fields populated: First Name, Last Name, or Email Address.
- Contacts missing all three fields will not sync.
- Updates to synced contacts will continue to reflect in Xero, provided they remain within the first five contacts.
Important
If a specific contact must be available in Xero, ensure it is created within the first five contacts for the Customer in Ordway.
Xero supports syncing a maximum of five contacts per customer from Ordway.
UI Fix: Custom Boolean Field Display in Credit Lines
ENHANCEMENT
| The Custom Boolean field in Credit Lines has been updated to display as a toggle instead of a checkbox. |
What’s Fixed
- Replaced the checkbox component with the standardized toggle UI for Custom Boolean fields.
- Ensures consistency with other Boolean fields across the platform (Example: Taxable toggle).

This is a UI consistency fix only. There is no impact to existing data or functionality.

Platform-level improvements focused on performance, usability, and consistency—making every day navigation faster and configuration workflows more intuitive.
Faster, Cleaner Company Switching
ENHANCEMENT
| The company selector now supports type-ahead search, making it easier to quickly find and switch between companies. |
Suggestions appear as you type, without loading the full company list, while maintaining alphabetical sorting. The experience has also been refined for smaller screen resolutions, ensuring smoother and more responsive company switching across devices.
Audit Logging and Audit Log View in Management UI
ENHANCEMENT
| You can now enable audit logging for selected configuration fields in the Management UI. Any update to a tracked field automatically generates an audit log entry. |
A new Audit Log View modal allows authorized users to review these changes in a centralized, easy-to-read format.
Capabilities
- Track configuration changes with user, timestamp, action, and before/after values
- Configure audit tracking for up to 10 fields per company.
- Up to 20 fields are supported in higher environments
- Automatically generate audit logs for every change to tracked fields
- View audit history with field-level change details in the Audit Log modal
Customization
- Administrators can select which fields are tracked for audit logging
- Audit logging can be customized per company to meet internal compliance and governance requirements

Allow Document Numbering for Child Entities
ENHANCEMENT
| Child Entities can now control how document numbers are generated, enabling flexible yet governed numbering across entity hierarchies. |
What’s New
A new controlled_by field allows document numbering to be managed by the Parent Entity or Self.
Customer and Product documents are always controlled by the Parent Entity.
Switching control to Self requires confirmation and is irreversible. System logic, validations, UI updates, and migration fully support this change.
Benefits
Enables decentralized control where needed while preserving consistency for critical records.
Prevents accidental or conflicting document numbering across entities.
This feature is turned off by default and can be enabled with the help of the Ordway Customer Success team.

Plan and product filtering in HubSpot
ENHANCEMENT
| You can now filter plans and products directly within HubSpot, making it faster to find the right options during quoting and contract creation. |
This improvement simplifies deal setup and helps sales teams work more efficiently when managing large product catalogs.
Clear Status Messaging for Payment Gateway Updates
ENHANCEMENT
When changes are made to payment gateway settings that require background processing, Ordway now displays a clear, user-friendly status message while the update is in progress.
Users are informed that their request is being processed and can follow a link to the Help Center for more details, reducing confusion and preventing duplicate actions while the job completes.

Improved Billing & Shipping Contact Mapping (HubSpot)
ENHANCEMENT
| The HubSpot integration now provides backward-compatible handling for billing and shipping contacts. |
When syncing deals to Ordway:
- If billing or shipping contact fields are set on the deal, those contacts are used.
- If those fields are not set, Ordway falls back to the associated deal contacts with buying roles marked as Billing or Shipping.
- If no such contacts are found, Ordway continues to create a placeholder contact using the company or customer name.
This update ensures smoother migrations to the newer HubSpot connector while preserving existing workflows and reducing manual corrections.
Adyen Transaction Fee Visibility
ENHANCEMENT
| Ordway now captures and displays transaction fees for Adyen payments directly within the payment record. |
This update provides better transparency into gateway costs by showing detailed transaction fee information alongside each payment, aligning Adyen behavior with existing Stripe fee visibility.
What’s Improved
- Transaction fees from Adyen are now recorded and displayed
- Enables easier reconciliation of gateway costs
- No configuration changes required
Automatically available for all new Adyen payments.
Improved Charge Editing for Quotes in “Out of Acceptance” Status
ENHANCEMENT
| You can now update charge details on quotes that are in the Out of Acceptance status without encountering validation errors. |
Previously, attempting to edit charges on an expired or sent quote could fail with a status-related error, even when the quote status itself was not being changed. This has been resolved.
What’s Improved
- Charge details (such as price and charge type) can now be updated on quotes in Out of Acceptance
- No impact to the quote status during updates
- Smoother quote management for post-send adjustments
This update applies automatically. No configuration changes are required.
API Updates
API enhancements that streamline billing schedule data retrieval and improve response times.
Billing Schedule API: Header-Only Response Support
ENHANCEMENT
| A new option is now available to limit the Billing Schedule (BS) GET API response to header-level data only, improving performance for use cases that do not require billing schedule line details. |
Previously, the Billing Schedule GET API always returned both billing schedule header data and line-level details.
When billing schedules contained a large number of lines, this could result in slower API responses and negatively impact downstream processes that only needed high-level billing schedule information.
What’s New
A new reserved query parameter, header_only, has been introduced for the Billing Schedule GET API.
When this parameter is set to true, the API response includes only billing schedule header attributes and excludes all line-level data.

New API: Billing Schedule Lines
NEW FEATURE

What’s New
- Fetch billing schedule line items as a standalone resource
- Supports pagination and sorting
- Enables filtering on both parent-level and line-level attributes
This enhancement eliminates the need to load the entire billing schedule and its associated lines, significantly improving response times for high-volume accounts.
