In order for Ordway to integrate seamlessly with other systems such as Quickbooks Online (QBO), both environments must be properly established with the correct parameters and settings.
Ordway is not able to override Product accounting or default settings in QBO. Credits, similar to Invoices, converse between Ordway and QBO at the Product level. In Ordway, a product has certain posting lines just as QBO has an Income Posting Account.
QBO Credit Handling
Complete the following steps in QBO to ensure appropriate Credit handling with Ordway.
Steps:
- In QBO, click the Add Products and services icon.
- Click New on the Products and Services screen.
- On the resulting screen, click Service.
- Create a new product to handle credits. Ensure the Income Account is either a revenue or expense account, similar to how it is set up in Ordway. Save and Close when finished.
- Back in Ordway, navigate to Menu > Setup > Integrations > Quickbooks Online. Click Settings.
- Click Map Products from the gear icon next to Products.
- Map the similarly created Ordway Credit Product to the QBO Product created in the steps above.
- Save when finished.
Ordway Credit Handling
When creating a credit in Ordway, follow these additional steps to ensure credits are accurately recorded in both systems.
- Create a new Product in Ordway named Credit Product that recognizes on invoicing and has the desired Expense/Revenue Account in the credit side of the invoice posting Journal Entry. More than one Product may be needed, depending on the variety of GL codes used.
- Allow the Product(s) to sync over to QBO and verify the Income Account.
- Create a credit in Ordway and select the desired Credit Product.
- Once saved, the end result should debit the credit side of the invoice posting in Ordway and credit the AR account saved in the general settings.
- In QBO, the credit will debit the income Account set for the product and credit the default AR account set-up in QBO.
