Usually deals take the billing contact of the Customer (Company) when there’s no specific billing contact assigned to the deal.
If my Billing Contact on deal is different from the customer, how do I pass billing/shipping information of deals to Ordway?
As a prerequisite, ensure the setting described below is in place.
- In Ordway, access the HubSpot integration via Menu > Integrations > HubSpot > Settings.
- Click the Settings tab again and ensure these settings are enabled:
3. When you associate a new billing contact to deal (not the one associated with customer) on HubSpot, ensure following steps are in place
- In HubSpot, at the deal level, create a custom Boolean field Generate Separate invoice and map this to Generate_seperate_invoice field of Ordway as shown below.
- Next, in HubSpot, Create a Custom Single Line Text custom field with the label Billing Contact.
- To do this, navigate to Deals > Actions > View all properties > Manage Properties > Create Property.
- Navigate back to Deals > Actions > Customize Properties > Choose the Single-line text field to display it on the Deals form.
- Map this Billing Contact field to the Billing Contact ID field in Ordway.
- Sync Contacts from Deal properties - This field must be available by default in HubSpot. If not, create a custom Boolean Field on the Deal and map it to Sync Contacts from Deal properties in Ordway.
- From the list of existing contacts in HubSpot, identify the contact to assign as the Deal’s billing contact. Once identified, pass the HubSpot ID of that contact to the Billing Contact Field as shown in screenshot below.
- Mark Separate invoice field as Yes.
- Mark Sync contacts from Deal properties as Yes.
Now you are all set to sync the billing contact on deals to Ordway.
