Set up a Multi-Year Contract in Salesforce

Review the following two use cases for establishing a multi-year Contract in Salesforce. Follow the examples below that best fit your needs. 

Steps:

1. Create an Account in Salesforce. 
2. Assign Billing/Shipping Contact to the Account created. 
3. Create a Multi Year Opportunity with the following items:
   • Opportunity Name 
   • Account Name 
   • Price Book
   • Close Date
   • Stage
   • Ordway Opportunity Type 

4. When the Charge Start Date and End date is not provided, the Ordway Contract Service Start Date and End Date ( Contract Term) is used by default.
5. To extend the Charge End to beyond the Contract Term, increase the Ordway Contract term further so that the Charge End date aligns with the Ordway Contract end date.

Use Case 1: Plan Date aligns with the Contract Start and End Date:

6. Using the Plan Picker, add a Charge to the Opportunity. The Charge Start Date of the plan must align with the Ordway Service Start Date and the Charge End Date with the Ordway Contract Term. Be sure to also set the Amount and Quantity. 

7. Next, create or update the Ordway Contract and Sync the contract.

Use Case 2: Apply the same charge for multiple terms within the contract term with different amounts:

1. Follow steps 1- 4 from Use Case 1 above.
2. Using the Plan Picker, select a plan to add to the Opportunity.
3. Set the Charge Start and End dates. 

Example:

• Ordway Charge Start Date = Mar 20, 2025
• Ordway Charge End Date =Mar 19, 2026

4. Save the Opportunity after setting the Amount and Quantity.
5. Next, open the Ordway contract line item, add the same charge, this time with the following dates  > Save when finished. 

Example: 

• Ordway Charge start Date = Mar 20, 2026
• Ordway Charge End Date =Mar 19, 2027

6. Save the Opportunity after setting the new Amount and Quantity.
7. Next, open the Ordway contract line item again, add the same charge, this time with the following dates > Save the Opportunity after setting the new Amount and Quantity.

Example: 

• Ordway Charge start Date = Mar 20, 2027
• Ordway Charge End Date =Mar 19, 2028

8. Finally, create or update Ordway Contract and Sync the contract.

Note: Ensure proper Mapping is in place before syncing the contract.
