Out of the box functionality in Ordway supports four commonly used Billing Periods for various type charges. Custom billing periods can also be created to support additional use cases. 

Out of the box Billing Periods in Ordway include: 

• Monthly
• Annually
• Quarterly
• Semi-Annually

Billing Period Status

Use the Status toggle to turn on or off Billing Periods for use within Ordway. 

Custom Billing Periods

Custom billing periods are designed to support billing frequencies that do not align with the standard or out of the box billing periods available in Ordway. 

Custom billing periods are commonly used when a customer has negotiated a non-standard billing frequency or a product that you are selling requires a percentage-based allocation for when and how much your customers need to be billed.

There are two methods for building custom Billing Periods in Ordway:

Fixed Length 

Available for Recurring and Usage Based Charge Types. Enter a fixed period of time as the billing period.

Example: A customer has purchased a temporary service for two months that only needs to be billed once.  In this instance, create a custom billing period for the two months by selecting ‘2’ as the Period Length quantity and Month(s) as the Period Length.

Contract Term

Available for One-Time and Recurring Charge Types only. Enter one or many buckets of % allocation that Ordway will charge at every offset period.

Example: You’ve agreed to let a customer pay 50% of their total bill upfront and 50% after six months. In this instance, select Month(s) as the Offset Unit for Billing Date and then create two rows with a ‘0’ Period Offset at 50% and then ‘5’ with the same 50% (Note: ‘0’ indicates the first billing period).

Add a New Billing Period

Steps:

1. Navigate to Menu > Setup > Billing > Billing Periods.
2. Click Add.
3. Populate the new Billing Period:

• Name the Billing Period.
• Status
• Select the Period Type.
• Select # of days, weeks, or months.

4. Save when finished.

Billing Periods by Charge Type

The custom Billing Period is selected from the Billing Period Frequency drop-down menu when adding or editing a Subscription Charge or within a Plan.
