Overview
If a payment arrives before its invoice exists, Ordway's Cash Application can't find a match for it right away. Once the invoice is created and posted, use Re-match to have Ordway check that payment against posted invoices again — without re-importing the transaction or creating a duplicate payment.
When to Use Re-match
Use Re-match when:
- A payment has already been imported into Cash Application through the transaction feed.
- The payment shows in the Pending tab because no invoice was available to match it, or the transaction feed shows the payment as Pending (Matches Found) but displays “no invoices found to match.
- A new invoice has since been created and posted for that customer.
Example: A customer pays $500 before their invoice is generated. When the transaction feed is imported, Cash Application finds no match and lists the payment under Pending (No Matches Found). After the $500 invoice is posted, selecting Re-match lets Ordway check the payment against the newly posted invoice.
Prerequisites
Before you select Re-match, confirm that:
- The payment already appears in the Cash Application.
- The payment doesn't have a match yet.
- The corresponding invoice has been created and is in Posted status.
- The invoice belongs to the same customer as the payment.
Re-match a Payment
- In the left navigation menu, go to Ordway Payments → Cash Application. The Cash Application page is displayed.
- Review the Pending (No Matches Found) tab to confirm the payment you're expecting a match for is listed there.
- Once the invoice is posted, select RE-MATCH in the top-right corner of the Cash Application page.
- Ordway re-evaluates pending payments against posted invoices for the customer.
Result: If the invoice meets the matching criteria, the payment moves to the Pending (Matches Found) tab. The Status column shows how many matches were found (for example, "1 Match found."), and the Match Criteria column shows what the match was based on (for example, an Invoice ID). From here, select Review to check the proposed match, then apply the payment, or select Ignore to dismiss it.
Note: Re-match doesn't create a new payment, re-import the transaction, duplicate the existing payment, or automatically create an invoice. It only gives an existing, unmatched payment another opportunity to be matched.
Limitations
- Re-match works with payments that are already unmatched. If a payment has already been applied, there's typically no need to run Re-match again for it.
- The invoice must be in Posted status to be considered — invoices still in Draft status aren't evaluated.
