Overview
Report Options allow you to manage Standard and User-Created Reports. Depending on the report type, you can view, edit, download, clone, share, schedule, make reports public, and add visualizations.
Standard Reports
Standard Reports can be viewed, downloaded, cloned, and scheduled from the Options menu on the right side of each report.
User Created Reports
User created reports can be viewed, edited, deleted, downloaded, made public, cloned, shared (January 2024 release) and scheduled from the Options menu on the right side of each report. By default, user created reports are private.
View Report
Click the corresponding Report name or click View from the Options menu to open the report.
Edit Report
User Created Reports can be edited as you see fit. Click Edit from the Options menu for the corresponding Report.
Delete Report
User Created Reports can be deleted as needed. Click Delete from the Options menu for the corresponding Report. Public Reports created by other users can only be deleted by the Report creator listed in the Created By field.
Download Report
When you click Download, a dialog box will appear with the following options:
Format Selection:
- Excel (Excel 2007 or later): Full-featured spreadsheet format
- CSV: Comma-separated values for data analysis
- PNG: Image format (available only for reports with charts/visualizations)
File Configuration:

Name: Customize the filename
- Default format: Name_of_the_Report_DD_MM_YYYY
- Fully customizable by user
Content Options:
Include Report Parameters ✅ Checked by default
- Adds contextual information at the top of your downloaded file
- Includes: report name, query date, filters applied, and record count
Include Visualizations (Excel format only, when charts/graphs are present)
- Embeds charts and graphs as static images in the Excel file
- Unchecked by default
- Only appears if the report contains visualizations
Download Methods:
- Download Now: Immediate download to your device

Email me this file: Send the exported file via email
- Email recipients field appears when this option is selected
- Enter comma-separated email addresses
- Your current user email is loaded by default
- Email will contain a download link to access the file
Format-Specific Behavior
Excel Downloads:
- "Include Visualizations" checkbox only appears if report has charts/graphs
- Supports both parameters and visualizations
CSV Downloads:
- "Include Report Parameters" and "Include Visualizations" option is not available (format doesn't support metadata and images)
PNG Downloads:
- Only available for reports containing charts or visualizations
- Creates image files of the visual elements
Large Dataset Handling
Datasets over 100,000 rows:
- A warning will appear in the download dialog box
- System automatically optimizes handling for large datasets
Extended Processing Time:
- If a report takes more than a minute to download, the system will automatically switch to email delivery
- You'll receive an email with the file instead of continuing with browser download
- This ensures reliable delivery of large or complex reports
Clone Report
Existing Reports can be cloned and customized as you see fit. Click Clone from the Options menu for the corresponding Report. Edit the cloned Report Name and click Save.
- Note: Report Names cannot include special characters.
Cloned reports can be filtered via the Simple Report Builder or further customized. Use the Advanced Report Builder to add fields, pivot data, and more.
Share Report
User Created Reports can be shared with specific users within your organization. When a new report is created by a user, the report is automatically set to Private. Changing the setting to Public via the options menu makes it viewable to all users in your organization.
The Share option is used to route a specific report to one or more individuals. Click Share from the Report options menu.
Type the recipient email address or select from the available drop-down menu. Multiple recipients can be added when sharing a report. Click Save when finished to share the report.
Users can edit report sharing settings as needed from the report options menu. Click Edit Sharing.
Add or remove recipients as needed and Save when finished.
Schedule Report
Existing Reports can be scheduled to run at a variety of intervals. Click Schedule from the Options menu for the corresponding Report. Read more about Scheduling Reports.
Make Public
User created reports can be made publicly available to share with your entire organization. Click Make Public from the Options menu for the corresponding Report.
Once the Report is made public, the Visibility column reflects Public. Public reports are available to all users within your organization.
Add Visualization
Reports can be displayed as visualizations on the Dashboard to help analyze report data graphically.
To add a visualization:
- Open the required report.
- Select Add to Visualization from the report actions menu.
The visualization becomes available on the Dashboard.
Note: You must have permission to access the report before adding a visualization.
Visualization Types
You can choose from the available visualization types supported by the report. Depending on the report configuration, available visualization types may include:
- Line Chart
- Bar Chart
- Area Chart
- Pie Chart
Note: Available visualization types vary depending on the report data.
Remove Visualization
Visualizations added to a report can be removed when they are no longer required.
To remove a visualization:
- Open the required report.
- Select Remove Visualization from the Reports actions menu. The visualization is removed from the report and is no longer displayed on the Dashboard.
