Why Schedule Reports?
Scheduling a report avoids building a report again from scratch the next time you need it. It also allows you to determine when to run the report and who should receive it on a recurring basis.
View Scheduled Reports
Navigate to Analytics > Schedules or click Schedules on the Menu > Analytics > Reports screen to view currently scheduled reports.
Schedule a Report
- Navigate to Analytics > Reports.
- Click the ellipsis menu (⋯) for the corresponding report and select Schedule.
- Alternative: You can also schedule reports from individual report pages by clicking the ellipsis menu (⋯) and selecting Schedule.

Schedule Information
- Schedule Name: Provide a descriptive name for the report schedule.
Email Information
- Email Recipients: Enter comma-separated email addresses. Your email is pre-filled by default.
- Subject: Provide a subject line for the report email. This is a required field.
- Message: Populate the email message body with context for recipients.
Format
- Select report Format: Excel (.XLSX) or CSV (.CSV).
- Include Report Parameters: Checked by default - Includes report context like filters, query dates, and record counts.
- Include Visualizations: Unchecked by default (Excel only) - Adds charts and graphs as static images.
Set Frequency
Schedule: Choose from Daily, Weekly, Monthly, or Once.
Depending on the selected schedule type, additional delivery options are available.
Daily
- Every day: Runs daily, including weekends.
- Weekdays: Runs Monday through Friday only.
Weekly
- Select one or more days of the week.
Monthly
- Every month: Runs once each month.
- Day of Month:
- Select a specific day (1–31), or
- Select Last day of the month to automatically deliver the report on the final calendar day of each month.
Time
- Specify the time when the report should be generated and delivered.
Start Date
- Select the date from which the schedule becomes active.
Monthly Schedule Example
You can configure a monthly report delivery to run on the Last day of the month.
Result
The report is automatically generated and delivered on the final calendar day of each month.
Note: When Last day of the month is selected, Ordway automatically schedules report delivery on the final calendar day of each month, regardless of the number of days in the month.
Where are my Scheduled Reports?
Scheduled Reports are found by navigating to Menu > Analytics > Schedules.
From the Schedules page, you can view detailed information about each schedule:
- Schedule Name: Your custom schedule identifier
- Report Name: The underlying report being scheduled
- Scheduled Time: Displays the configured delivery schedule, including frequency, time, and monthly options such as Last day of the month.
- Last Run: Timestamp of most recent execution
- Next Run: Upcoming execution time
- Recipients: Email addresses receiving the reports
- Format: Export format (Excel/CSV)
- Last Modified: When the schedule was last updated
Manage Scheduled Reports
From the Schedules menu, click the ellipsis menu (⋯) next to any schedule for the following actions:
Run Schedule
- Immediately execute the schedule outside of its normal timing
- Useful for testing or urgent report needs
Edit Schedule
- Modify any schedule settings including recipients, frequency, filters, and format
- All current settings are pre-filled for easy editing
- No need to delete and recreate schedules
Pause/Resume
- Temporarily disable a schedule without deleting it
- Resume when ready to restart automated delivery
Delete Schedule
- Permanently remove the schedule
- Note: This action does not delete the Report itself, only the Schedule
Run History
- View detailed execution history for the schedule
- See timestamps, status (Success/Failed), source (System/User), and recipients
- Download previously generated files.
- View error details by hovering over "Failed" status
Schedule Run History
Access detailed execution information for any schedule:
- Navigate to Menu > Analytics > Schedules
- Click the ellipsis menu (⋯) next to the desired schedule
- Select Run History
Each execution record shows:
- Timestamp: When the schedule ran
- Status: Success, Failed, or In Progress
- Source: System (automated) or User (manual trigger)
- Recipients: Who received the report
- Download Link: Access to the generated file
Note: Schedule run history is stored for the last 90 days.
