Ordway includes functionality to distribute customized messages to your Customers. Templates can be formatted as PDFs or the body of an email and can serve a wide variety of purposes, depending on the information included.

Payment related templates can be used to indicate the following:
- Payment In Process
- Payment Reversed
- Payment Processed
- Payment Declined
Manage Payment Related Email Templates
Preconditions:
Use the Enabled toggle to activate/deactivate email templates.
Steps:
- Navigate to Menu > Settings > Manage Templates.
- Scroll to the Email Templates for Quotes, Statements and Contracts section.
- Click the Edit icon for the corresponding Template from the Customize Column. Or click + Add Template to add a new Template.
- Define the recipients, BCC, reply to address, subject line, and body of the email. These templates allow for dynamic references that fill in with Customer-specific detail. The highlighted text in the screenshot below represents the dynamic references - for example, {{ customer.name }} references the Customer’s attributes and populates with the appropriate content, in this case, the Customer’s name.

Notes:
The Payment Processed email is not automatically sent for payments manually entered in Ordway. However, receipts can be sent for each manual payment within Ordway via Menu > Operations > Payments, then select Email from the Actions menu for the corresponding payment.
When the Payment Processed email template is enabled, an email is sent when an ACH payment was successful, not necessarily when an Invoice is paid.
When a customer makes a payment that applies to multiple invoices, the Payment Processed email includes attachments of each invoice paid.
4. Save when finished.
