Overview
Ordway now supports a folder-based organization system that helps users manage, navigate, and categorize reports more efficiently. This new interface replaces the previously long, single list of reports and introduces a cleaner, structured way to browse, search, and manage your reports.
Ordway now includes the ability to categorize reports into folders. This improves:
- Discoverability
- Navigation
- User productivity
- Report governance
- Sharing and access control
By using folders, you can group related reports such as MRR, Revenue, Aging, or Customer-level reports into logical containers.

Understand Folder Types
Ordway provides two types of folders:
System Default Folders
These folders are pre-created and cannot be renamed or deleted.
These include:
- All Reports
- Account Balance
- Aging
- ARR & MRR
- Invoice & Payments
- Contracts & Subscriptions
- Customer
- Revenue
- Custom Reports
- Shared with Me
Custom Folders
Created by users for personalized organization.
You can:
- Create
- Rename
- Delete
- Share
- Move reports into these folders
Create and Manage Folders
Create a New Folder
Use the New Folder option to create a new folder to which you can add any report. You can add a required name and an optional description to help users understand the folder’s purpose.
Before You Begin
- Ensure you have access to the Analytics → Reports module.
- Only user-created folders can be shared. System folders cannot be modified.
Create a New Folder
- Log in to the Ordway application. The Ordway home page is displayed.
- On the left pane navigation menu, click Analytics → Reports.
- The Reports page is displayed on the right of the page.
- Click NEW FOLDER at the top-right of the page. The Create New Folder dialog box is displayed.
- Enter the Folder Name (Required Field) in the box.
- Add a Description (Optional) in the box. It helps to understand what this folder contains.
- Click CREATE. The new folder appears in the left panel under the folder list and a confirmation message appears: “Folder created successfully.”
- Click CANCEL to close the dialog box without creating a folder.

Rename a Folder
You can rename any custom folder to keep your report structure clear and organized. System-default folders (such as All Reports, Aging, MRR, etc.,) cannot be renamed.
- Log in to the Ordway application and navigate to Analytics → Reports.
- In the left folder panel, hover over the folder you want to rename.
- Click the ellipsis (⋮) menu displayed on the folder.
- Select Rename Folder from the menu options. The Rename Folder dialog box appears.
- Enter the new folder name.
- Click Save. The updated name appears instantly in the folder list and a confirmation message appears: “Folder renamed successfully”.
- Click CANCEL to close the dialog box without making any changes.

Delete a Folder
You can delete any custom folder that you have created. Deleting a folder does not delete the reports. The reports move automatically to All Reports.
- Log in to the Ordway application and navigate to Analytics → Reports.
- In the left folder panel, hover over the folder you want to remove.
- Select Delete Folder from the ellipsis (⋮) menu. The delete Aging Reports? Dialog box appears.
- Click DELETE to confirm. The folder is removed, and a confirmation message appears: “Folder deleted successfully”.
- Click CANCEL if you do not want to delete the folder.
Organize Reports
Move Reports into a Folder
The Add to Folder(s) option lets you place a report into one or more folders for better organization. Reports can exist in multiple folders without being duplicated.
- Log in to the Ordway application and navigate to Analytics → Reports.
- In the left folder panel, click any folder to view its reports.
- The reports inside that folder appear on the right side of the page.
- Select Add to Folder(s) from the ellipsis (⋮) menu, for the report you want to move. The Add to Folder(s) dialog box is displayed.
- Select one or multiple folders. The reports appear inside each selected folder immediately.
- Click DONE to save your selection.
View Reports by Folder
The left navigation panel displays all available folders that help you organize and access reports efficiently.

- All Reports Folder
- The All Reports folder always displays the entire catalog of reports available, regardless of how they are organized.
- Reports appear here even if they are part of multiple folders.
- Select a folder to filter reports.
- Click any folder in the left panel to view only the reports contained within that folder.
- The report list on the right updates instantly to show reports from the selected folder.
- Folder Report Count
- Each folder shows a number indicating how many reports it contains.
Share Folders and Permission Behavior
Folder sharing works the same way as report sharing. You can control who can view or edit a folder and the reports contained within it.
Folder Sharing Types
- Private: Only the creator can view the folder.
- Public: Visible to everyone in the organization.
- Shared: Visible only to selected users or roles.
Share a Folder
Folder sharing works the same way as report sharing. You can control who can view or edit a folder and the reports contained within it.
- Log in to the Ordway application and navigate to Analytics → Reports.
- In the left folder panel, hover over the folder you want to share.
- Select Share Folder from the ellipsis (⋮) menu. The Share “Folder Name” dialog box appears.
- Select the Users you want to share the folder with from the list.
- Choose the Access Levels such as either view or Edit permissions from the list.
- Click SAVE to apply the sharing settings.
Make Public Folder
A Public folder is visible to everyone in your organization. All users can see the folder and the reports inside it.
Steps to Make a Folder Public
- Log in to the Ordway application and navigate to Analytics → Reports.
- In the left folder panel, hover over the folder you want to update.
- Select Make Public from the ellipsis (⋮) menu. The “ ” dialog box appears.
- Click CONFIRM.
The folder becomes public.
A "Folder is now public" confirmation message appears that all users can now view the folder and its reports.
Make Private Folder
A Private folder is visible only to you (the owner). No other users can access the folder or its reports.
Steps to Make a Folder Private
- Log in to the Ordway application and navigate to Analytics → Reports.
- In the left folder panel, hover over the folder you want to update.
Select the folder you want to change.
Select Make Private from the ellipsis (⋮) menu. The “ ” dialog box appears.
- Click CONFIRM.
The folder is now private and only you (the owner) can access it.
A "Folder is now private" confirmation message appears.

Permission Behavior
- When a folder is shared, all reports inside it inherit the sharing settings.
- New reports added later automatically inherit folder permissions.
- If a report is shared individually (but the folder is not), the report appears under All Reports and Shared with Me
Search Within Folders
The search bar automatically respects the folder you are currently viewing, helping you quickly locate the reports you need.
Search Behavior
- When you perform a search inside a specific folder, the results are limited only to reports in that folder.
- The Advanced Search options include a Folder filter, allowing you to refine results across all folders or within a selected one.

When you hover over a report, the following options appear:
- View
- Edit
- Add to Folder(s)
- Download
- Clone
- Schedule
Notes and Limitations
- Folder structure supports one level only (no subfolders).
- System folders cannot be deleted or renamed.
- Reports can exist in multiple folders.
- Deleting a folder does not delete reports.
- Report permissions remain unchanged unless folder sharing overrides them.
