Ordway is designed to provide flexible options for managing Subscriptions for evolving customer preferences. One potential scenario is to temporarily suspend a customer’s Subscription charges in an effort to reduce the possibility of customer churn.
Example: A customer with churn risk can be offered a suspension of their Subscription for a specific period of time that aligns with their billing frequency (e.g. 3 months suspension from all charges for a monthly subscriber).
Ordway uses Coupons to accomplish this scenario. Read more about creating a coupon.
Add Coupon to Transaction
- Once the Coupon is created, navigate to the Order or Subscription to add the Coupon.
- Enter the Coupon Code in the Discount Code field.
- Click Apply.
4. Save when finished.
Use Coupon to Suspend a Subscription
- Complete the same steps as above to apply a Discount Code.
- Set Change Effective Date = first day of 1st billing cycle the 100% discount will apply to. Example: When Customer’s next Invoice service period to bill is May 1, 2020 to May 31, 2020, set this date = 2020/05/01.
- Save and confirm the Change Effective Date.
- Click Billing Schedule from the More menu to confirm suspension of invoicing for the suspension period.
- Confirm that the Journal Entry Run is Completed. View the Journal Entries by one of the following methods:
- Exporting from the Journal Entry Run, using the Export option.
- View Journal Entries, by navigating to Menu > Finance > Journal Entries.
- Navigate to Menu > Finance > Financial Periods, which summarizes the Journal Entries created from the Journal Entry Run. Note: It may contain Journal Entries as a result of other Journal Entry Runs.
Resume Suspended Subscription
- Return to the suspended Subscription to resume billing.
- Click Change from the More menu.
- Click Remove Discount.
4. Set Change Effective Date = first day of 1st billing cycle normal billing will resume for. Example: When non-discounted billing for Customer will resume on August 1, 2020, then set this date = 2020/08/01.
5. Save and confirm the Change Effective Date.
