In the past, Subscriptions requiring a Billing Period change were cancelled and recreated. Complete the following steps to edit a Billing Period on an active Subscription instead of cancelling it.
- Enable Edit Charge Billing Period on Contract Change
- Change Billing Period for Subscription
Change Impact
When the Billing Period is changed in an active Subscription, the Billing Schedule will automatically reflect the change based on the Change Effective Date. Anything after the Change Effective Date is impacted. Revenue is not impacted.
For Subscriptions with paid invoices, Ordway will automatically generate a refund for any unpaid periods, then generate a new invoice based on the subscription change based off of the Change Effective Date.
Enable Edit Charge Billing Period on Contract Change
Steps:
- Navigate to Menu > Setup > General Settings > Subscription Settings.
- Toggle Edit Charge Billing Period on Contract Change ON.
- Save when finished.
Change Billing Period for a Charge
Complete the steps above prior to editing the Subscription. Billing Period edits are prohibited without the Edit Charge Billing Period on Contract Change toggle enabled.
Note: Draft Invoices can not exist for the Subscription being edited.
Steps:
- Navigate to the desired Subscription and click Change.
- Edit the Change Effective Date.
- Edit the desired Charge and modify the Billing Period from the available drop-down menu.
- Save the Charge and the Subscription when finished.
- Confirm the Change Effective Date and click Yes, Change Subscription.
