Scenario
A renewal is processed and invoiced before the current contract ends, but a contract change occurs between the renewal processing date and the start of the renewed term.
Example:
- Current Term: 8/25/2025 – 8/24/2026
- Renewal Processed: 8/9/2026
- Renewal Term: 8/25/2026 – 8/24/2027
- Contract Change: Occurs after the renewal is processed but before 8/25/2026
The requirement is to:
- Bill the change for the remaining days of the current term at the current/pre-renewal pricing.
- Bill the renewed annual term at the renewal pricing.
Current Behavior
In Ordway, a renewal takes effect only after the current contract term ends.
If a renewal has already been processed, Ordway does not currently support automatically applying a subsequent change to the remaining portion of the current term while preserving the processed renewal.
Recommended Workaround
If a contract change occurs after the renewal has been processed:
- Update the subscription with the Change Effective Date equal to the Renewal Date.
- Manually adjust the applicable Billing Schedule (BS) line to account for the change during the remaining days of the current term.
- Allow the renewal to proceed normally for the next annual term.
Key Takeaway
This is an edge-case scenario that is not currently supported through standard automation. A manual Billing Schedule adjustment is required to account for changes occurring between an early renewal and the start of the renewed term.
